How Long We Keep Information
In line with the UK GDPR principle of Storage Limitation, we only retain your personal data for as long as necessary to fulfil the purposes for which we collected it, including for the purposes of satisfying any legal, accounting, or reporting requirements.
To determine the appropriate retention period for personal data, we consider the amount, nature, and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure, the purposes for which we process your personal data, and any applicable legal requirements.
We apply the following retention schedules based on the type of data we hold:
Data Category: Initial Contact & Free Health Check Data
Purpose of Processing: To respond to your enquiry, provide the free assessment, and follow up to offer a paid service.
Retention Period: 12 months from the date of the last communication.
Lawful Basis for Period Chosen: Necessary for our Legitimate Interest (lead management and sales pipeline).
Data Category: Client Service Data (Audit/Contract)
Purpose of Processing: To fulfil the terms of a contract (Audit delivery or ongoing DIFM service) and maintain service history.
Retention Period: 6 years from the end of the contract or service period.
Lawful Basis for Period Chosen: Legal Obligation (HMRC requirement to keep financial records/contracts).
Data Category: Financial Records (Invoices, Payments)
Purpose of Processing: Required for tax and financial auditing purposes.
Retention Period: 6 years from the end of the last company financial year they relate to.
Lawful Basis for Period Chosen: Legal Obligation (HMRC and Companies Act requirements).
Data Category: Website Usage Data (Google Analytics)
Purpose of Processing: To monitor website performance and identify technical issues.
Retention Period: 26 months (as set in our analytics settings), after which data is automatically deleted or anonymised.
Lawful Basis for Period Chosen: Necessary for our Legitimate Interest (website improvement).
Deletion and Destruction
When the retention period expires, we will securely delete or anonymise your personal data. If, for any technical reason, we cannot delete it, we will ensure that appropriate safeguards are put in place to prevent any further use of the data.
